If you are a current user of the payroll software then you can use this option to transfer data from the old tax year to the new tax year.
You will need to have the new years software installed. In the new years software, start the migration from ‘Admin’ > ‘Data Conversion’ > ‘Convert from the (old year) to the (new year)‘.
2019/20 > 2020/21 Migration
The 2019/20 migration contains a new migration option to allow customers to set their Employment Allowance options whilst migrating companies. Further information on the changes to Employment Allowance in 2020/21 can be found in our year end guide.
Start the Migration
If you are a current user of the payroll software then you can use this option to transfer data from the old tax year to the new tax year. You will need to have the new years software installed. In the new years software, start the migration from ‘Admin’ > ‘Data Conversion’ > ‘Convert from the (old year) to the (new year)‘.
You can also start the migration after you have installed the new years software. Upon opening the software for the first time you will be presented with a small window. In this window are several options:
- 'Migrate last years data'
- 'Enter a registration pin'
There are several other options in the list, but for the purposes of migration these are the two relevant options. Selecting the ‘Migrate‘ option will close the software and open the migration utility.
After you accept the ‘Migrate‘ option the next window you will see is a migration warning. Read through the window and when you are happy to proceed, click 'Continue'
After pressing ‘Continue‘ you will be prompted to select the file location where the last years data is stored. If you have QTAC installed on your own personal computer (as opposed to an application server) then you will likely not need to change anything. The program sets the default file location in the path finder.
If you have installed the software to a custom folder (for example: a different HDD location or a remote server) then use the ‘Browse‘ option to navigate to the correct location. If you are adding a remote server location it can be easier to navigate to the UNC path in windows explorer, then copy and paste the address in to the Qtac migration wizard.
Converting the Data
The next screen will have you select the companies that you want to migrate. You have an option to ‘Select All‘, ‘Reverse Selection‘ or ‘Cancel‘. Select all of the companies that you want to transfer to the new years software and press continue. To select multiple companies, hold the ‘Ctrl‘ button on your keyboard and use the mouse to highlight different companies.
The migration utility will now run. Taking data from the previous years software (companies and employees) and moving it into the new year’s database.
Once this process has finished you can launch your new software and will see it has been populated with the companies you selected. The employees will have red indicators next to their name and will be open at month one. This means they are now ready to process for the new tax year.
